The deliverable

What lands in the inbox every Monday

Six sections. One week of fuel. Theft stays in its own lane, next to the typos and the sensors, so a manager can see which is which.

Week at a glance

Swipes, gallons bought, dollars, and engine MPG. The top of the page is the week, not a chart that takes a meeting to explain.

Fuel verified in tank

How much of the spend could be checked, and how much of that checked fuel showed up in a fleet tank. The rest is not called clean.

Fills to review

A unit, a time, a place, and the distance between the pump and the truck. The action is specific: pull receipts and video.

Truck number mixups

Fuel that reached a truck, posted to the wrong unit. The note goes to dispatch. It is a process fix, not a theft case.

Fuel economy

Engine MPG from miles and gallons burned. Cost per mile on that same basis. Card gallons are shown beside it, not blended into it.

Sensor and data health

Units whose tank reading cannot be trusted. Those fills sit here until the sensor is fit to use as evidence.

The same morning

Managers already have a list

The Monday note is for the person who owns the numbers. The people running the day see a shorter list before that.

  1. 01N. Vargas, unit 3704. GPS about 41 miles from the pump late last Tuesday. Pull receipts and video.
  2. 02F. Adeyemi keyed unit 6120 and drove 6210. Ask drivers to enter their own unit at the pump.
  3. 03Tank sensor on unit 4491 jumped around. Do not treat those fills as clean or as theft.

Example only. Names and figures changed.

Who it is written for

Operations wants the three lines they can clear today. Finance wants spend, price, and cost per mile without a second export. The owner wants to know the week did not hide a hole.

If a line cannot be proved, the report says so. That is the point.
